Basic steps to running payroll.

Applies to: ParaClock, ParaPay

·         Employees punch in and out

·         Create the Time Sheets from ParaClock

·         View/Modify Time Sheets

The Time Clock shown above can be accessed from the Main Menu | Administration by clicking either of the highlighted areas shown below.

Create the Time Sheets from ParaClock

Click “Create Time Sheets (Optional)” from the Main Menu | Administration

Follow these steps to create time sheets:

·         Select a Pay Group (Shown as HOURLY in illustration)

·         Select the Pay Period (11/18/07 to 12/1/07 in illustration)

·         Select which employees you want to create time sheets for.

·         Click “Create Time Sheets”

View and/or modify Time Sheets

The time sheets that have been created can be viewed/modified from the Daily or Weekly Time Sheet. (ParaClock or ParaPay)

Process the Pay Groups (Create the Paychecks)

Click “Process Pay Groups” from the Main Menu | Payroll

Follow these steps to create time sheets:

·         Select a Pay Group (Shown as HOURLY in illustration)

·         Select the Period Begin Date (11/18/07 in illustration)

·         Set the Pay Date – this is simply the date that you issue the checks.

·         Select the Bank Account to post from.

·         Enter the first check number (100 in illustration)

·         Select which employees you want to create paychecks for.

·         Click “Create Paychecks”

 

FYI: The hours shown above are the total hours entered in the employee timesheet from the Period Begin Date until the ending date of that period. If you want to use the default hours instead of the timesheet hours, this setting can be changed in the Company Preferences.

 

The paychecks that have been created can be viewed and/or modified by selecting Payroll | Paychecks. Any earnings can be edited in the Paycheck form (shown in illustration below). The taxes and liabilities will automatically update if the earnings are changed. This paycheck can be manually posted by clicking “Post”. To post more than one at a time see: Post the Paychecks. After posting, the paycheck can also be printed by selecting “Print”. To print a series of posted paychecks see: Print the Paychecks.

Note: the taxes shown below are for illustration purposes only. The liabilities and deductions will also be shown if they are properly set in the employee setup.

 

Post the Paychecks

The paychecks that were just created can be batch posted by clicking General Ledger | Batch Posting. Simply set the range of paychecks to post and click “Post”! Note: ParaPay will not double-post any paychecks even if the paycheck had previously been posted.

 

Print the Paychecks

The paychecks that were created and posted can now be printed by clicking Payroll | Print Paychecks.

·         Set the Bank Account.

·         Choose the Check Number Range.

·         Verify the Check Type and the other print options.

·         Click “Print”!

Process and Print Employee W2 

Applies to ParaPay

Open ParaPay | Employee | and select Process Employee W2 

Click the Process W2 button.  When completed select Edit Employee W2.  You will see a warning screen.

 Check each employee W2 and when confirmed click close.

Select Reports and click Employee W2 then click print.
